Account Coordinator - Medicare

As an Account Coordinator, you will serve as a knowledgeable support partner to the Licensed Medicare Agents and team by executing specialized operational functions, ensuring compliance accuracy, enhancing workflow efficiency, and supporting the client and agent experience.

RESPONSIBILITIES:

  • Mange the intake, organization and closing of Medicare-related data with a strong focus on accuracy and compliance.
  • Oversee policy renewal processing with EPIC or Agency Bloc system, ensuring data integrity and timely completion.
  • Coordinate and prepare pre-appointment documentation, including Scope of Appointment forms and Client Intake Sheets, ensuring readiness for agent consultations.
  • Maintain and audit required sales documentation to ensure adherence to CMS and carrier guidelines.
  • Navigate Medicare and carrier portals to perform provider searches, formulary and drug cost assessments, and benefit verification at a specialist level.
  • Support contracting processes through tracking, notifications, and documentation management.
  • Assist with ongoing and specialized data projects, often involving cross-system information gathering, cleanup and reporting.
  • Identify process improvements and contribute to enhancing operational workflows across the Medicare division.
  • Answer phones and the manage the department email inbox.
  • Develop and maintain a positive relationship and rapport with each insurance carrier to satisfy our clients’ needs and facilitate the processing of business.
  • Comply with organizational policies and procedures, including code of conduct and attendance policy.

MINIMUM QUALIFICATIONS:

  • High school diploma required; college degree or 2 years equivalent experience preferred
  • Organizing and coordinating skills
  • Ability to effectively prioritize work tasks
  • Computer skills, including Microsoft Office Professional software, internet, email, and data entry
  • Excellent communication skills, both verbal and written
  • Ability to multi task and prioritize with numerous interruptions
  • Ability to problem solve
  • Ability to work with a diverse group of people and personality types
  • Able to work independently with minimal supervision
  • Able to complete annual training for General Compliance and Fraud/Waste/Abuse
